Job Summary:

 

Under the direction of the Directors of Patient Services of the Outpatient Clinic Services Program (OCSP) and Systemic Therapy Program (STP), the Patient Services Coordinator assists Patient Services to optimize outpatient clinic and systemic therapy services with respect to department staff orientation and training, equipment inventory and maintenance, supply inventory control (reconciling, maintaining and ordering), and patient services related projects.

 

This position works collaboratively and consultatively with the multidisciplinary team to facilitate optimal clinical operations including identifying equipment needs and repairs, staff resourcing and ability.

 

Reporting to the Director of Patient Services, OCSP or Director of Patient Services, STP (in the absence of OCSP Director) the Patient Services Coordinator will facilitate standardized practice and to ensure consistency of training with respect to coordination of orientation and training program 

 

Qualifications:

 

Education 

  • Post Secondary certificate/diploma in Business Administration or Health Services Management Program or related from an accredited educational institution. 

 

Experience 

  •  5 years of administrative experience preferably within a healthcare/clinical operations environment
  • 3 years experience assisting with coordinating clinical operation initiatives and processes.
  • 3 years experience working with multidisciplinary teams internally and across organizations 

 

An acceptable equivalent combination of education and experience may be considered 

 

Skills and Abilities 

  • Excellent communication (oral and written), interpersonal and leadership skills
  • Exceptional organizational and time management skills
  • Must be able to work flexible hours
  • Ability to work in a high stress environment with the pressure of multiple requests and deadlines
  • Ability to work independently and as a member of a multi-disciplinary team
  • Demonstrated ability in utilizing computerized applications, such as Microsoft Word and Excel
  • Ability to maintain a high level of confidentiality, diplomacy and tact, and PHIA/confidentiality
  • Relevant health care related management courses an asset including but not limited to change management, patient satisfaction, Multidisciplinary team environments, conflict resolution, quality improvement (LEAN) 

 

Assets 

  • Previous experience and involvement in quality, process improvement and patient safety
  • Previous experience in oncology or specialized outpatient clinics
  • Knowledge of medical terminology and procedures
  • Knowledge and experience in using EMRs (i.e. ARIA, echart, EPR, etc.) 

 

Required Licenses, Registrations, Designations

  • Active member in good standing of an associated regulatory body as appropriate 

 

Physical Demands and Working Conditions 

  • Must be able to work safely in a typical computerized office environment with frequent meetings at multiple sites throughout the organization, and to lift and carry items
  • The position holder must have a valid Manitoba driver’s license and use of a personal motor vehicle for travel between sites during working hours where public transport is not available

  • Must have satisfactory employment record
  • Must be legally able to work in Canada
  • Ability to speak French is considered an asset
