Shared Health leads the planning and coordinates the integration of patient-centered clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.
Position Overview
Reporting to the Director, and under the general supervision of the Administrative Assistant, the incumbent:
- Receives all incoming correspondence, inquiries and provides reception and information about services and resources on the telephone and in person for the main social work office.
- Types correspondence, client reports, social histories and work material.
- Maintains filing systems for resource material.
- Provides bus tickets and taxi slips to eligible clients.
- Arranges transportation for patients as required.
- Assists with coordinating meetings, rounds or educational sessions including room bookings and other details (telehealth, technology required and communication of meeting).
- Maintains up to date resource library of community services, income programs, government services etc. and referral forms and information booklets/pamphlets for services and programs. Maintains current copies of Standard Operating work for the Department.
- Provides coverage for Administrative Assistant and the other secretary as required.
- Maintains the high-risk identification system at Women's Health Program.
- Processes forms to appropriate agencies (i.e., Child & Family Services, Notice of Adoption, Notice of Maternity, etc.).
- Performs other duties as assigned.
Experience
- Minimum one year secretarial/reception experience, preferably in a hospital setting.
Education (Degree/Diploma/Certificate)
- Complete high school education, Manitoba standards, required.
- Successful completion of a recognized secretarial training program required.
- A combination of education and experience may be considered.
Qualifications and Skills
- Preference will be given to those applicants competent in an Indigenous language and/or knowledge in Indigenous customs, traditions and values.
- Typing 55‑60 wpm, word processing and medical terminology.
- Demonstrated proficiency in the use of Microsoft Office (Word, PowerPoint, Excel) required.
- Knowledge of office procedures required.
- Knowledge of provincial/city social service resources required.
- Experience in transportation arrangements for hospital discharges.
- Good telephone manner and ability to receive and relay precise messages.
- Excellent interpersonal and communication skills.
Physical Requirements
- Frequent Interruptions.
- Continuous exposure to clients, patients and families who may be difficult to deal with.
