Position Overview
Directly accountable to the Manager of Social Work and PRIME, the Secretary provides administrative, clerical and receptionist functions at Deer Lodge Centre. Coordinates the logistics of services such as meetings, group activity, conferences and workgroups. Consolidates activities related to human and material management, drafts and prepares reports, letter and other documents.
Performs all duties in accordance with established health and safety regulations/guidelines, policies and procedures (e.g. utilizing personal, protective equipment as per safe work procedures). Notifies their Manager or their designates (i.e. supervisors) of all occurrences, injuries illnesses or safety and health concerns which are likely to harm themselves, their co-workers, or any others who enter the premises.
Experience
- Two years related experience in a health-care setting.
- Experience working with ESP (payroll system) and SAP would be an asset.
Education (Degree/Diploma/Certificate)
- Grade 12 (Manitoba standard).
- Successful completion of a secretarial program or course of study or equivalent with formal training in typing, clerical functions, basic stenography skills and computers (Microsoft – Excel, Word, Outlook, Power Point, Access).

- Specific training related to the use of medical terminology.

- The Deer Lodge Centre’s Mission Statement, Residents Bill of Rights and Code of Conduct.
- Personal Health Information Act, Protection of Persons in Care Act, Workplace Hazardous Material Information System (WHMIS), Principles of Routine Practices (Universal precautions) and other legislated acts.
- Knowledge of general office practices and procedures.
- Knowledge of filing, indexing and recording systems.
- Knowledge of the operation of modern office equipment.
- Knowledge and understanding of the philosophies and terminology of Social Work.
- Ability to read, write, speak and understand English with a superior understanding of grammar, spelling, syntax and punctuation rules.
- Ability to organize and prioritize workload efficiently.
- Ability to retain information on a confidential basis.
- Ability to work independently with minimal supervision.
- Ability to proofread document and correct errors.
- Ability to schedule appointment and arrange meetings.
- Ability to prepare reports.
- Ability to deal sensitively with client and their families who may be emotionally distraught and stressed.
- Ability to perform accurate mathematical calculations.
- Keyboarding speed of 65 wpm with less than 5% error rate.
- Shorthand/speedwriting and dictatyping skills.
- Manages workload despite frequent interruptions, & competing demands upon time.
- Thorough, discrete, reliable and mature.
- Well-developed personal computer skills, including word processing (Word), spreadsheets (Excel) and communication (GroupWise).
Physical Requirements
- May be required to work extended hours.

- May encounter aggressive and/or agitated patients/residents/staff/visitors.
This term position may end earlier as outlined in your collective agreement.
This position requires a current satisfactory Criminal Records Check (including Vulnerable Sector Search), Child Abuse Registry Check and Adult Abuse Registry Check as conditions of employment. The successful candidate will be responsible for any service charges incurred. A security check is considered current if it was obtained no more than six (6) months prior to the start of employment.
