Position Overview

The incumbent is responsible for providing clerical support to the Manager(s) of Health Services including processing job postings and related paperwork, maintaining position control, registering new hires in orientation sessions, ensuring that the Manager(s) is/are aware of staffing levels, maintaining information and employee profiles in the ESP staff scheduling system, updating the day to day schedule changes in ESP, ShiftLink and running staffing reports as requested. Must adhere to the timelines and deadlines for expense claim forms, time entry and payroll cutoffs. Processes data entry into the SAP Payroll System from sources (ESP, ShiftLink) submitted by sites to which Provincial Travel Team staff are deployed. Follows up with sites to ensure timesheets are audited and are inputted correctly with all required information. Identifies areas for improvement with timekeeping and correction notice process and works with respective areas to incorporate efficiencies. Coordinates appointment calendar for the Manager(s) and performs other clerical duties as assigned.

Experience

  • Experience with Microsoft Office, ESP and SAP is required.
  • Experiences with ShiftLink preferred.
  • Minimum two years previous related experience, preferably in a health care setting.

Education (Degree/Diploma/Certificate)

  • Complete Grade 12 education, Manitoba standards, required.
  • Successful completion of a recognized secretarial training program required.
  • A combination of education and experience may be considered.

Qualifications and Skills

  • Excellent interpersonal, organizational and decision-making skills required.
  • Must have excellent English communication skills, both oral and written.
  • Typing 50-60 wpm, medical terminology (pass mark 75%) required.
  • Knowledge of personal computers and proficiency in Microsoft Office including Excel, Word, Teams, and Outlook.
  • Preference will be given to those applicants competent in an Indigenous language and/or knowledge in Indigenous customs, beliefs and practices.

Physical Requirements

  • Must be able to function in a high volume, high traffic environment.
  • Use of visual display terminal for long periods of time.
