Position Overview

Reporting to the Department Head, the incumbent is responsible for the effective, efficient provision of secretarial and receptionist support for the Department of Ophthalmology.  Duties include:

 

  • Typing or entering on the word processor a variety of patient and administrative correspondence, from dictaphone or manuscript.
  • Maintaining the University budget, monitoring trust accounts and RCSR.
  • Acting as a receptionist for the Department, receiving incoming telephone calls, relaying messages, and greeting and directing patients.
  • Scheduling the Department Head’s administrative appointments and meetings.
  • Acting as a temporary replacement for the Ophthalmic Assistants when absent due to illness or vacation.
  • Booking and arranging travel.
  • Preparing payroll information.
  • Scheduling promotion meetings and following up with appropriate paperwork.

Experience

  • One year previous secretarial experience required, preferably in a health care setting.

Education (Degree/Diploma/Certificate)

  • Complete high school education, Manitoba standards, required. 
  • Successful completion of a recognized secretarial training program required.
  • A combination of education and experience will be considered.

Qualifications and Skills

  • Preference will be given to those applicants competent in an Indigenous language and/or knowledge in Indigenous customs, traditions and values.
  • Typing 60 wpm required. 
  • Demonstrated proficiency in the use of Microsoft Office (Word) required. 
  • Dictaphone and medical terminology required. 
  • Knowledge of Ophthalmology terminology an asset.

Physical Requirements

  • Position involves transporting charts from Children’s Clinic to the work centre in Children’s Hospital, returning them when typing has been completed. 
  • Transports faxes and incoming mail to the clinic.
