Shared Health leads the planning and coordinates the integration of patient-centered clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.

 

Position Overview

Under the direction of the Administrative Assistant and the Manager(s), Health Services, the incumbent is responsible for providing clerical support to the Manager(s), Health Services, including processing job postings and related paperwork, registering new hires in orientation sessions, ensuring that the Manager(s) are aware of staffing levels, maintaining  unit information and employee profiles in the ESP staff scheduling system, updating the day-to-day schedule changes in ESP and running staffing reports as requested. Coordinates appointment calendars for the Manager(s) and performs other clerical duties as assigned.

Experience

  • Two years previous secretarial experience required, preferably in a hospital setting.
  • Experience with Environment for Scheduling Personnel (ESP) preferred.

Education (Degree/Diploma/Certificate)

  • Complete Grade 12 education, Manitoba standards, required.
  • Successful completion of a recognized secretarial training program required.
  • A combination of education and experience may be considered.

Qualifications and Skills

  • Typing 50 wpm and Medical terminology (pass mark 75%) required.
  • Demonstrated proficiency in the use of Microsoft Office including Excel, Word and Outlook required.
  • Knowledge of Access and PowerPoint preferred.
  • Knowledge of Environment for Scheduling Personnel (ESP) or other service-based staff scheduling systems preferred.
  • Familiarity with the Health Sciences Centre’s internal structure, corporate policies and procedures, and physical layout preferred.
  • Must have excellent English communication skills, both oral and written and interpersonal skills.
  • Must have decision-making ability, good judgment, initiative and the ability to prioritize.

Physical Requirements

  • Must be able to function in a high-volume environment.
