Intake Coordinator - Virtual Contact Centre

Hourly Salary:  From $18.533 to $22.142


Shared Health leads the planning and coordinates the integration of patient-centred clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.


Position Overview

  • Screen potential candidates against role criteria
  • Reporting to the Team Lead, the intake Coordinator prepares new employees to be provisioned for training
  • Coordinates with internal and external partners to onboard new employees to become fully integrated
  • Acts as a first point of contact for new employees
  • Assists new hires through onboarding process
  • Troubleshoots with candidates if there are issues through out their onboarding and escalates if necessary
  • Coordinates scheduling with new employees, internal, and external partners
  • Provides all relevant onboarding documents to new employees and all relevant parties to ensure seamless onboarding
  • Up-dates and maintains a clean and organized new employee tracker
  • Coordinates with Training Coordinators to ensure all new hires are set up with the appropriate training.
  • Tracks and follow ups on provisioning of new employees with the IT service Desk
  • Creates ad hoc reports to leadership to ensure KPIs are met
  • Develops and maintains onboarding documents and resources.
  • Liaises with internal and external partners
  • Triages all incoming communication in a shared email box


Qualifications and Skills:

  • Post-secondary education
  • Highly analytical problem-solver with a passion for creating excellent customer experiences
  • Demonstrated expertise with MS-Excel.  
  • Knowledgeable and capable of working effectively in Microsoft Office, Microsoft Teams, and web-based environments
  • Experience in a customer service focused position
  • Team player, open to feedback and new ideas
  • Exceptional analytical, conceptual thinking and problem-solving skills
  • Knowledge and understanding of government organization and financial processes
  • Political acumen skills and experience dealing with confidential, complex, and sensitive materials
  • Excellent oral and written communication skills with the ability to effectively communicate complex information in a clear and concise manner
  • Ability to quickly assimilate information, multi-task, and adapt to changing priorities to successfully operate within a deadline-driven environment
  • Excellent interpersonal skills with the ability to develop effective working relationships within a team and with a variety of stakeholders
  • Excellent troubleshooting skills: ability to quickly find root cause of issues and resolve
  • Works well under pressure
  • A track record of following through on commitments
  • Excellent planning, organizational, and time management skills.
  • Ability to work independently and as part of a team
  • Self-starter, confident in above skills and uses those skills effectively
  • Strong problem-solving abilities
  • Ability to work virtually/remotely: reliable and sustainable internet access, able to connect computer via LAN line for internet connection
