Job Summary:

 

Under the general direction of the President and Chief Executive Officer (PCEO), the Executive Assistant (EA) provides confidential, efficient, and effective senior administrative support to CancerCare Manitoba (CCMB) Executives. The EA liaises with the Executive Leadership Team, key stakeholders, government contacts, and members of the Board of Directors.

 

Operating in a fast-paced environment, the Executive Office requires a forward-thinking, highly organized EA with the ability to prioritize competing demands, anticipate the needs of the PCEO, and proactively support day-to-day operations. The EA provides functional oversight and coordination of the Administrative Officers supporting Executive portfolios including the Board Coordinator, ensuring consistent administrative practices, alignment of priorities, and effective information flow across the Executive Office.

 

As an essential member of the Executive Office, the EA provides leadership and expertise in maintaining corporate records, supporting the governance framework and workplans, and coordinating executive and board-related activities. This includes creating meeting agendas, ensuring minutes are accurately documented, and tracking action items to completion. The incumbent applies discretion and sound judgment when handling sensitive issues, determines appropriate escalation, and represents the Executive when necessary and within established boundaries.

 

Qualifications:

 

Education

  • Successful completion of a recognized Administrative Training Program from an accredited educational institution
  • Additional courses in administration/project management preferred

 

Experience

  • 7 years of administrative experience supporting senior executive level leader(s) 
  • Two (2) years of experience supporting board governance and meeting management 
  • An acceptable equivalent combination of education and experience may be considered.

 

Skills and Abilities

  • Prior experience working in an administrative / coordinator role ideally within a healthcare setting
  • Ability to work independently interfacing with highly skilled professionals in a team environment and provide guidance in work activities
  • Demonstrated experience providing high-level administrative support, preferably to senior executives and Boards.
  • Excellent keyboarding skills 65 WPM
  • Proficiency with computerized system (Microsoft Office: Outlook, Word, Excel, Access, PowerPoint, OneNote, MS Teams) and the capacity to learn new programs as required. 
  • Ability to learn and develop a working knowledge of the organization, including its governance and organizational structure and relationships. 
  • Exceptional planning, organizational and interpersonal skills
  • Excellent communication skills, verbally and in writing, required
  • Knowledge and experience in minute taking and synthesizing information
  • Ability to work in a fast-paced environment and work effectively under pressure to meet deadlines
  • Demonstrated problem-solving skills
  • Proven ability to maintain confidentially including handling confidential information with discretion. 
  • Skills in project management preferred

  • Must have a satisfactory employment record
  • Must be legally able to work in Canada
  • Ability to speak French is considered an asset

 

Physical Demands and Working Conditions

  • Must be able to work safely in a typical computerized office environment with frequent meetings at multiple locations throughout the organization, and to lift and carry items
  • On occasion meetings will have to be organized and attended outside of regular business hours.
