Executive Assistant

It’s a sparkling, 200-bed facility in south Winnipeg where people who can no longer live independently come to live their remaining years in dignity and with professional care, in a robust and friendly social environment steeped in Yiddishkeit.

 

The Saul and Claribel Simkin Centre is a not-for-profit, government-funded facility that honours Jewish values and traditions while welcoming seniors of all backgrounds.

 

We are currently seeking a resourceful, proactive, self-directed person who has excellent communication skills, organization skills and an upbeat attitude. The successful candidate will assist our Chief Executive Officer with administrative tasks and board functions as well as supporting the Director of Marketing, Communications & Donor Relations. The ideal candidate will provide polite and professional assistance to our residents, staff, our boards and any visitors to the Centre and to generally be a helpful and positive presence in the workplace.

QUALIFICATIONS

 

EDUCATION

  • Successful completion of an administrative, business or project management training program or the equivalent in education and experience.

 

EXPERIENCE

  • Minimum of three years working in an office environment dealing with employees of all levels.
  • Minimum of two years working in a senior administrative capacity.
  • Taking and transcribing meeting minutes, drafting a variety of correspondence.
  • Working with a volunteer board in a non-profit environment (healthcare setting is an asset).

 

SKILLS

  • Initiative, high energy, attention to detail, poise, capacity and willingness to learn new skills.
  • Strong written communications, including editing.
  • Strong oral communications (in-person, telephone and virtual).
  • Excellent interpersonal, organizational and decision-making.
  • Good judgment, tact, discretion and confidentiality.
  • Ability to identify needs, as well as prioritize and manage multiple and competing priorities.
  • Strong organization, planning.
  • Excellent time management skills, ability to manage a great deal of information, organize many tasks/heavy workloads and build relationships with diverse groups of people.
  • Working comfort with office technology/software, social media: WordPress, Zoom/Teams, Mailchimp, proficiency in Microsoft Windows (Word, Publisher, PowerPoint, Outlook, Excel), DonorPerfect (including Constant Contact), Facebook, Instagram and others.

 

KNOWLEDGE

  • The Simkin Centre Mission Statement, Residents’ Bill of Rights and Code of Conduct.
  • Knowledge of Jewish culture and traditions is an asset.

 

WELL-BEING

  • Physical/mental health, and fitness to meet requirements/demands of the position.
  • Ease at working on a computer for long periods of time.

 

OTHER

  • Perform tasks in a professional and courteous manner with minimal instructions at all levels of the organization, as well as the external stakeholders, Residents and families.
  • Exercises a high degree of integrity and discretion at all times due to the confidential nature of the information dealt with on a daily basis.
  • Assumes responsibility for ongoing education and participates in professional training workshops for personal and professional growth.
  • Ability to work flexible hours as required.
