Shared Health leads the planning and coordinates the integration of patient-centered clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.

Position Overview

  • The incumbent is responsible for the effective, efficient provision of administrative support to the Director of Central Support Services – specifically as it relates to policy support and policy database supports. Manages office work flow and maintains a variety of database systems requiring a high-degree of decision-making and judgment including:
    • Maintaining the databases associated with the Patient Care Manual Committee and the Policy Management Committee.
    • Managing workflow of the databases requiring a high-degree of decision-making and judgement.
    • Developing, maintaining and auditing the systems.
    • Maintaining data integrity associated with PYXIS, Utilization Management, Patient Transportation Database, External Agency Billing/Purchased Salary databases, etc.
    • Providing leadership to a secretarial staff who assist in data entry and systems support for a variety of databases (PYXIS, Utilization Management database, Patient Transportation Database, etc.).
    • Orienting, training, and guiding the secretaries who provide data entry to the automated systems.
    • Developing reports for senior and middle management.
    • Consulting with internal (Communications and Information Systems, Human Resources) and external agencies as required.

Experience

  • Minimum 5-7 years previous related experience, preferably at a senior level in a health care setting.
  • Experience with systems implementation, teaching/education and troubleshooting preferred.

Education (Degree/Diploma/Certificate)

  • Complete Grade 12 education, Manitoba Standards, required.
  • Successful completion of a recognized certificate/diploma program in personal computer software/networking database management required and or completion of an applied office skills program required.
  • A combination of education and experience will be considered.

Qualifications and Skills

  • Typing 50 wpm and medical terminology required.
  • Knowledge of personal computers and proficiency in Microsoft Office including Excel, Word, Outlook, PowerPoint and Access required.
  • Ability to set up and maintain spreadsheets and databases required.
  • Proficiency in utilizing the Admission Discharge and Transfer (ADT) system, Chart Tracking, and UM Continuum Tool preferred.
  • Must have excellent English communication skills, both oral and written.
  • Demonstrated analytical and problem-solving skills.
  • Ability to analyze, organize and document procedural routines.
  • Ability to work independently.
  • Ability to work to meet scheduled deadlines.
  • Ability to communicate effectively with all levels of staff.

Physical Requirements

  • Must be able to work independently and function effectively in an environment with frequent interruptions.
