Shared Health leads the planning and coordinates the integration of patient- centered clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.

 

Position Overview

Reporting directly to the Director, Provincial HR Shared Services, this position is part of a team providing support to Provincial HR Shared Services (PHRSS), Organization Chiefs (Managers) and Timekeepers throughout the Provincial Health Region. This role is responsible for developing, maintaining, and improving internal processes including introducing new technology and tools. The PHRSS team is responsible for the diversified employment, payroll and benefits functions in SAP and QHR for both union and non-union employees across the Province of Manitoba.

Major Responsibilities

•  Monitors departmental work systems to ensure that data workflows run smoothly and resolves any issues
•  Support, maintain, and improve case assignment, prioritization, and escalation processes; regularly analyze effectiveness and suggest improvements to team managers and supervisors
•  Design, build, and maintain reporting solutions by consolidating and analyzing data from all work systems
•  Build and maintain automation tools (Power Automate, Excel, Microsoft Teams, etc.) to streamline internal and cross-departmental processes
•  Collaborate with PHRSS team members to assess processes, identify common issues, and implement improvements; update and communicate changes to end users
•  Manage the documentation library on SharePoint site, keeping Technical Documentation (TD) clear, accurate, and useful
•  Develops and maintains high quality and effective communications, process documents, job aids and courseware material
•  Utilizes the Learning Management System (LMS) registration system for class availability, student movement and evaluations
•  Create, maintain and update SharePoint, training resources and training environments
•  Mentor and coach Provincial HR shared service staff 
•  Review system update requirements; test and communicate changes
•  Adheres to all safety and health regulations and safe work practices.
•  May be required to perform other duties and functions related to this job description not exceeding above stated skills and capabilities.

Experience

•  One to three years’ experience in instructional design or technical writing or courseware development 
•  Demonstrated proficiency in the use of Microsoft Office applications including Power BI and advanced Excel skills required
•  Superior ability to manage complex plans and coordinate multiple activities in a fast-paced environment is essential 
•  Previous Training or Education experience is an asset 
•  Proficiency with computerized systems (SAP, Adobe Pro, Visio, SharePoint and Success Factors, preferred)

Education (Degree/Diploma/Certificate)

•  Complete high school education, Manitoba Standards, required
•  Post-secondary degree in communications, computer science, information technology, business analytics, education or another related field is an asset

•  Excellent command of the English Language (oral and written)
•  Ability to effectively contribute to a team, with problem solving skills essential.
•  Ability to maintain a high level of confidentiality.
•  Ability to be a quick learner in a fast-paced environment and work effectively under pressure to meet deadlines.
•  Demonstrated ability to deliver results in a dynamic environment
