Job Summary:

 

The primary purpose of this position is to assist, organize, and support the Director of Patient Services for Outpatient Clinic Services and Systemic Therapy Programs and Patient Services Managers with a broad range of routine and non-routine secretarial and administrative details for the four sites. The portfolio includes: Nursing, Managers, Clinical Resource Nurses, Charge Communication Clerks, Patient Service Coordinator, Hematology Lab, Nurse Educators, Nurse Practitioners, Clinical Nurse Specialists, and others as assigned to the Director of Outpatient Clinic Services Program (OCSP) and Systemic Therapy Program (STP).

 

 This position will provide various levels of administrative support for the departments within the OCSP and STP Department Portfolio; answers staff questions and provides direction. Payroll/staffing responsibilities include scheduling; in collaboration with the staff scheduler, submitting attendance, vacation, overtime, income protection, documentation to the Department of OCSP and STP, etc. The incumbent will be able to organize and administer workflow with the development of administrative systems that enhance efficiencies, and functions well under pressure.

Required:

 

Level of Formal Education & Experience

 

  • Post-secondary diploma/certificate in Administration or related from an accredited educational institution. An acceptable equivalent combination of education and experience may be considered. 
  • 5 years of experience supporting intermediate/senior level management
  • 2 years of experience scheduling and coordinating meeting and travel arrangements 
  •  2 years experience recording and preparing minutes and agendas 
  •  2 years experience maintaining spreadsheets and databases

 

An acceptable equivalent combination of education and experience may be considered.

 

Skills and Abilities

 

  • Proficiency with Microsoft Office (Outlook, Word, Excel, Access, PowerPoint) 
  •  Ability to compose correspondence on behalf of the Patient Services Director and/or Managers 
  •  Flexible to work at the four Winnipeg CCMB sites 
  • Ability to work independently interfacing with highly skilled professionals in a team environment and provide leadership in work activities 
  • Experience in supervisory/ leadership (preferred) 
  • Excellent communication skills, verbally and in writing 
  • Ability to work in a fast-paced environment and work effectively under pressure to meet deadlines 
  • Demonstrated problem solving skills 

 

Physical Requirements

 

  • Must be able to work safely in a typical computerized office environment with frequent meetings and able to lift and carry items

  • Must be legally able to work in Canada
