Job Summary:

 

Under the supervision of the Director of Community Oncology, the Administrative Officer provides senior administrative support to the Director of the Community Oncology Program and the Director of Patient Services and Clinical Innovation, as well as supervision and distribution of workload to the departmental Administrative Assistant and in-scope departmental secretaries within the program and sub-programs. Administrative support includes final document preparation, arranging meetings and interviews, managing time schedules, creation and distribution of communications, general organization within the office, coordination and preparation of financials, maintenance of statistical reports for internal and external purposes. The incumbent will organize and prioritize the administrative activities ensuring all the work is completed within established time frames. The Administrative Officer will support the coordination of the day-day activities for the Program Directors, as well as to the Community Oncology Program, Central Referral Office and Clinical Innovation and all the different components of these programs. The incumbent for this position will assume responsibility of projects with minimum supervision. Ability to coordinate activities with multiple partners as well as the CCMB executive team is an important component of the position.

 

The Administrative Officer will assist the department with staff recruitment, hiring, on-boarding and off-boarding. Other duties and responsibilities include payroll entries, coordination and minute taking of division meetings, preparation and upkeep of administrative standard operating procedures, preparation of financial paper work coverage for out-of-scope administrative duties and other duties as assigned.

 

The incumbent will be required to work in a fast-paced environment and to prioritize a large complex workload to meet deadlines. The incumbent has the ability to coordinate workflow and meet deadlines with frequent interruptions, exercise sound judgment, maintain confidentiality, and be willing to assume a variety of assignments, as required.  The candidate must be a self-starter, have the ability to work both independently and in a team setting with minimal supervision. This position will be working in an administrative office, not in a direct clinical setting.

 

 

Qualifications:

 

Education

  • Successful completion of a recognized Administrative Training Program or related from an accredited educational institution.

 

Experience

  • 5 years directly related experience, supporting an intermediate / senior level leader
  • 2 years supervisory / leadership experience
  • Experience on payroll entries for department staff

  • Experience recording and preparing minutes and agendas

 

Skills and Abilities

  • Ability to work independently interfacing with highly-skilled professionals in a team environment and provide leadership in work activities
  • Ability to work in a fast-paced environment and work effectively under pressure to meet deadlines
  • Demonstrated problem-solving skills
  • Demonstrated ability to organize, assign and supervise the work of secretarial staff
  • Demonstrated excellence of written and verbal communication skills
  • Ability to compose correspondence on behalf of department heads / manager
  • Experience scheduling and coordinating meetings and travels
  • Experience maintaining spreadsheets and databases
  • Proficiency with computerized systems (Microsoft Office: Outlook, Word, Excel, Access, PowerPoint)
  • Excellent keyboarding skills 65 WPM.

 

 An acceptable equivalent combination of education and experience may be considered.

  • Must have a satisfactory employment record.
  • Must be legally able to work in Canada.
  • Ability to speak French is considered an asset.
