Shared Health leads the planning and coordinates the integration of patient-centred clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.

Position Overview

Under the Out of Province Central Coordination Unit, Diagnostic and Surgical Recovery Task Force portfolio and reporting to Provincial Executive Director, Out of Province Central Coordination Unit, Diagnostic and Surgical Recovery Task Force, the Administrative Coordinator is responsible for overseeing the efficient organization of administrative services for task force.  Ensures compliance with Shared Health policies and procedures and assists with statistical and financial management information when required.  Supervises administrative support staff including recruitment, training, orientation, performance management and delegating workload effectively to achieve operational outcomes/goals. Acts as a resource with internal departments, programs and services, as well as external organizations, clients and the general public.

Experience

  • Five years experience in a senior administrative role including a minimum of one-year experience providing direct supervision and managing performance of administrative staff in a healthcare setting.
  • Experience with policies and procedures including with financial processes (invoice processing/purchase order/receiving reconciliation).
  • Excellent verbal and written communication skills are required to compose communiqués, and guide staff and organization on processes and information distribution.
  • Demonstrated ability to organize, prioritize, analyze, problem-solve and apply knowledge and decision-making skills for positive results.

Education (Degree/Diploma/Certificate)

  • Complete high school education, Manitoba standards, required.
  • Business Administration diploma/certificate or an equivalent combination of education and working experience.
  • Winnipeg Regional Health Authority (WRHA)/Red River College Health Services Management Program certificate preferred.

Qualifications and Skills

  • Excellent technical skills required to provide direction to administrative staff which includes advanced proficiency with the Microsoft suite of products (Outlook, Word, PowerPoint, Excel, Access) required.
  • Visio and Project, as well as Sharepoint and Adobe Contribute, preferred.
  • Excellent time management skills.
  • Excellent organizational and interpersonal skills with ability to effectively serve the organization.
  • Demonstrated leadership skills.
  • Negotiation and conflict resolution skills to effectively resolve issues.
  • Excellent ability to apply confidentiality and tact to the workplace.
  • Excellent stress management skills with ability to manage multiple assignments and issues within a fast-paced environment.
  • Experience with recruitment and resource planning.
  • Confident ability to work with all levels of the organization.
  • Demonstrated ability to effectively contribute to a team environment.
  • Experience within a healthcare provider environment within the WRHA or Province of Manitoba is an asset.
