Administrative Assistant - Training & Staff Development 2025-064-SB
The Training, Staff Development Administrative Assistant coordinates and supports the work of Staff Development activities for Actionmarguerite. The position reports to the Manager of Training, Staff Development and Safety and will work closely with Management and Clinical Teams and all staff. The incumbent will provide support to all Actionmarguerite sites. The person in this role has a keen understanding of our training and educational needs in a Health Care Facility and is able to multi-task and prioritize the tasks of this role. The shared team goal for the staff development program is to be devoted to delivering quality learning opportunities in support of a strong, happy and healthy workforce.
Performs all duties in accordance with established health and safety regulations/guidelines, policies and procedures (i.e. utilizing personal, protective equipment as per safe work procedures). Notifies management or supervisor of all occurrences, injuries, illnesses or safety and health concerns which are likely to harm themselves, their co-workers, or any others who enter the premises.

Starting Date: As soon as possible
Shift and Hours of Work: 1.0 FTE - full-time - days, currently 08:45 - 17:00
Pay Scale: As per established salary scale
Specifications: This position provides services to our multiple sites. Travel between sites may be required. Assignment and hours of work are subject to change at any time as per operational requirements.

Selection Criteria:
Education:
- Business Administration certificate and/or an equivalent combination of formal education and related experience, preferably in a health care environment.
- Workplace Health and Safety Act and Regulation knowledge an asset.
Experience:
- Minimum 2 years practical experience in a support role;
- Experience directly related to administration/coordination of training: i.e.. Scheduling staff from all departments for education sessions.
- Demonstrated proficiency working in a computerized environment and with Human Resources Information Systems (knowledge of Quadrant Workforce is an asset); and
- Proficiency working with MS Office/Excel/Outlook.
Abilities and Skills:
- Ability to communicate (verbal and written) in both official languages (French and English) is required. If you are not French speaking, a commitment to begin to learn French and take courses is required;
- Exceptional interpersonal communication skills and proven ability to establish and maintain successful working relationships at all levels within the organization and with external stakeholders;
- Exceptional organizational skills and ability to understand detailed information;
- Demonstrates responsibility for and accurately handles the details associated with one's work; is conscientious about accuracy;
- Strong IT skills required;
- Ability to adapt to a changing environment and respond with initiative;
- Ability to prioritize workload;
- Must be in good physical and mental health;
- Ability to demonstrate a satisfactory employment record, including attendance; and
- Current Criminal Record Check for the Vulnerable Sector and Adult Abuse Registry Check deemed satisfactory by the Employer.

This position is designated bilingual (French/English). All staff are hired for the facility. Employees may hold more than one position in different Actionmarguerite facilities, where the sum total of hours does not exceed 1.0 full-time equivalence.
