Job Summary:

 

The Administrative Assistant at CancerCare Manitoba (CCMB) will be responsible for providing high level administrative support and office management to the Paul Albrechtsen Research Institute CCMB. The incumbent will provide confidential administrative support for leadership, enter payroll for the department, and perform other duties as assigned to meet the department objectives. The incumbent will also assist the department with hiring, coordination and preparation of financial paper work preparation and upkeep of administrative standard operating procedures, and coverage for out-of-scope administrative duties.

The Administrative Assistant will be required to work in a fast-paced environment and to prioritize a large complex workload to meet deadlines. The incumbent has the ability to coordinate workflow and meet deadlines with frequent interruptions, exercise sound judgement, maintain confidentiality, and be willing to assume a variety of assignments, as required. The candidate must be a self-starter, have the ability to work both independently and in a team setting with minimal supervision.

The incumbent will work to ensure a high level of coordination and communication between CCMB, the University of Manitoba, and other various stakeholders.

 

Qualifications:

Education

  • Successful completion of a recognized Administrative Training Program from an accredited educational institution.

 

Experience

  • 3 years of experience supporting an intermediate/senior-level leader and/or project team.
  • Advanced skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe PDF is essential
  • Experience using database software is required.
  • Experience creating, maintaining spreadsheets and databases
  • Experience on payroll entries for department staff
  • Demonstrated experience in meeting planning, and document management.

 

An acceptable equivalent combination of education and experience may be considered

  • Ability to coordinate and work with a multidisciplinary team
  • Strong organizational, prioritization skills, & attention to detail
  • Excellent communication (written and verbal) and interpersonal skills

  • Demonstrated problem-solving and organizational skills
  • Ability to compose correspondence on behalf of leadership
  • Understanding of basic bookkeeping principles is required.

 

Required Licenses, Registrations, Designations

  • WHIMIS and PHIA training completed or the ability to complete the training within the first three months of employment

 

 

Physical Demands and Working Conditions

  • Must be able to work safely in a typical computerized office environment and able to lift and carry items
  • Incumbent may be exposed to noises from laboratory equipment, unpleasant odours and the remote possibility of exposure to toxic materials.
