Job Summary:
The Administrative Assistant has knowledge and understanding of general Department of Environment, services and will support staff, coordinate the systems within the Department, and be responsible for administrative functions. The successful candidate will also provide administrative support to Human Resources.
The incumbent will be able to organize and administer workflow with the development of administrative systems that enhance efficiencies, and functions well under pressure.
The successful candidate will provide support and coordination in areas including, but not limited to, department administration, delivery of minor projects, coordination of invoicing and purchase orders, administration of contacts with partner infrastructure stakeholders, other related duties as assigned.
Must be able to ensure confidentiality at all times and understand the need for privacy of documents and employee matters.
This position reports to the Director of Infrastructure for Department of Environment responsibilities.

Required:
Level of Formal Education & Experience
- Three to five years in proven project focused environment.
- Successful completion of a post-secondary program in Administration. An acceptable equivalent combination of education and experience may be considered.
- An advanced computer skill in Microsoft Office Suite is essential. Experience using database software required.
- Must have excellent communication, organizational, interpersonal, leadership, and coordination skills and be capable of carrying out the duties of this position with diplomacy and tact.
- Must be able to communicate with Physicians, Executive members, CCMB staff at all levels in the organization.
- Must be able to coordinate workflow and develop administrative systems that enhance efficiencies of effectiveness and be able to function well under pressure.
- Flexibility to adapt to changing conditions and the various details of the job.
- Must be self-starter and be able to handle the confidential aspects of this position with discretion and professionalism.
- The ability to exercise sound judgment is required.
- Ability to assume a variety of assignments.
- Positive attitude, and ability to seek alternative ways of solving problems in order to mitigate constraints and overcome obstacles
- Demonstrated problem-solving skills
- Satisfactory employment record
- Must be legally able to work in Canada
Preferred:
- College or undergraduate education in business administration
- Experience in complex healthcare/academic environment
- Skills in project management
- Ability to speak French
