Shared Health leads the planning and coordinates the integration of patient-centred clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.

Position Overview

Reporting to the Managing Director, Department of Obstetrics, Gynaecology and Reproductive Sciences, the incumbent is responsible for the day-to-day management of office support activities including the coordination of actions between the Health Sciences Centre, University of Manitoba, University Medical Group and the Winnipeg Regional Health Authority. Supervises office support staff activities, liaises with management; assists in special projects as required. The incumbent will provide effective and efficient administrative support related to both general office and academic activities.

  • Minimum of five to seven years related experience in a healthcare setting, preferably at a senior level.
  • Demonstrated proficiency with the Microsoft Office suite of products, including Word, Access, Excel, Power Point, Microsoft 365 and TEAMS is required
  • Proficient knowledge of Outlook, ZOOM, and ability to utilize the Internet to complete ad hoc searches to support job function is required.
Education (Degree/Diploma/Certificate)
  • Complete high school education, Manitoba standards required.
  • Successful completion of a recognized secretarial training program required.
  • Successful completion of additional business courses preferred.
  • A combination of education and experience may be considered.

Qualifications and Skills
  • Typing 60 wpm required.
  • Medical Terminology (75% pass mark) and ability to transcribe correspondence quickly and accurately.
  • Strong leadership skills including the ability to actively promote develop and foster productivity, effective customer service and solid working relationships in a self-directed worker/teamwork environment.
  • Demonstrated ability to analyze complex situations, define problem areas, recommend system solutions and organize, schedule and control multiple implementation projects.
  • Excellent interpersonal, negotiation and decision-making skills required.
  • Excellent oral and written communication and interpersonal skills.
  • Ability to speak in French is an asset.
  • Must be able to communicate effectively with all levels of staff at the Health Sciences Centre (HSC), University of Manitoba, University Medical Group (UMG), Winnipeg Regional Health Authority (WRHA), and Shared Health.
Physical Requirements
  • Frequent interruptions, limited work space and mobility to commute considerable distances on campus.
  • Must be able to function well in a demanding work environment that requires managing multiple priorities including patient / physician concerns. This position also requires quick and accurate turnaround of information.
