The Administrative Assistant 3 is responsible for providing administration and secretarial support to the Director Health Services. Accountable to the Director for efficient and effective performance of duties and responsibilities. Communicates directly with the Director for daily and routine work assignments.

Experience

  • 3 – 5 years secretarial experience at the senior level required.
  • Experience with email and computerized calendars.
  • Experience scheduling and coordinating meetings required.
  • Experience recording and preparing minutes and agendas.
  • Previous healthcare experience preferred.
  • Experience in a Windows environment essential. 

Education (Degree/Diploma/Certificate)

  • Complete high school education, Manitoba standards, required.
  • Successful completion of a recognized two year administrative secretarial training program required.

Qualifications and Skills

  • Knowledge of health care field desirable.
  • Knowledge of PHIA and FIPPA preferred.
  • Computer expertise required with:
    • Word processing, i.e., Microsoft Word
    • Spreadsheet, i.e., Microsoft Excel, Outlook
    • Database application, i.e., Access
    • PowerPoint; Publisher, Canva
  • Typing 60-70 words per minute.
  • Medical terminology preferred.
  • Ability to compose correspondence on behalf of Director.
  • Ability to set up spreadsheets and databases.
  • Ability to accurately record and transcribe minutes of meetings.
  • Excellent oral and written communication skills and interpersonal skills.
  • Excellent knowledge of English grammar, spelling and punctuation.
  • Ability to work with minimum supervision and act independently within established guidelines.
  • Ability to maintain records and reports related to the position.
  • Well-developed ability to establish priorities, work in a fast-paced environment and work efficiently under pressure to meet deadlines.
  • Demonstrated ability to problem-solve.
  • Demonstrated organizational skills.

Physical Requirements

  • May be required to work extended hours.
  • May encounter aggressive and/or agitated individuals.
  • Adheres to all safety and health policies, regulations and safe work practices.

 

 

This position requires a current satisfactory Criminal Records Check (including Vulnerable Sector Search), Child Abuse Registry Check and Adult Abuse Registry Check as conditions of employment. The successful candidate will be responsible for any service charges incurred. A security check is considered current if it was obtained no more than six (6) months prior to the start of employment.
