Position Overview

Under the direction of the Manager of Health Services, the Administrative Assistant 2 is responsible for reception, clerical and operational support as well as data entry for the departments as assigned.

Experience

  • Data base entry experience required.
  • Previous experience working in an administrative/secretarial support capacity in a similar or directly related position required.
  • Previous experience in accurately recording and transcribing minutes of meetings required.
  • Minimum three years related experience.
  • Experience working with. Allied Health rehabilitation disciplines an asset.
  • Customer service experience desirable.

Education (Degree/Diploma/Certificate)

  • Complete high school education, Manitoba Standards, required.
  • Successful completion of a recognized administrative secretarial program or related degree required.
  • Administrative Assistant degree/course preferred.
  • Equivalent experience may be considered.

Qualifications and Skills

  • Adheres to all safety and health policies, regulations and safe work practices.
  • Medical terminology preferred.
  • Demonstrated proficiency in the use of Microsoft Office Word, Excel, Publisher, PowerPoint, Outlook and teams is required.
  • Knowledgeable in creating/updating website content.
  • Advanced knowledge of database software required. Proven ability to be able to troubleshoot when required.
  • Proficiency with minimum data set (MDS) application preferred.
  • Knowledge of staff scheduling software, i.e. ESP, SAP preferred.
  • Computer expertise setting up and maintaining automated control systems using excel spreadsheets and word tables required.
  • Ability to operate and trouble shoot fax machines.
  • Excellent English grammar, spelling and punctuation.
  • Typing 50 - 60 wpm required.
  • Ability to prepare presentations, newsletters, posters and brochures using Publisher, digital camera, and PowerPoint software for management staff required.
  • Must be a team player with outstanding interpersonal, communication, problem solving and organizational skills.
  • Must be able to handle a diverse workload and function with limited guidance, supervision and monitoring.
  • Excellent oral, written and interpersonal skills.
  • Ability to work effectively in high traffic area with frequent interruptions.

Physical Requirements

  • May be required to work extended hours.
  • May involve exposure to disease, toxic materials, noise, allergens etc.
  • May encounter aggressive and/or agitated individuals.

 

 

This position requires a current satisfactory Criminal Records Check (including Vulnerable Sector Search), Child Abuse Registry Check and Adult Abuse Registry Check as conditions of employment. The successful candidate will be responsible for any service charges incurred. A security check is considered current if it was obtained no more than six (6) months prior to the start of employment.
