Shared Health leads the planning and coordinates the integration of patient-centered clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.
Position Overview
SMHC is a 252-bed facility that provides long-term mental health inpatient treatment and rehabilitation services to residents of Manitoba whose challenging needs cannot be met elsewhere in the provincial health care system.
SMHC provides recovery-oriented programs and services to male and female patients with the goal of returning them to their community of choice. SMHC has five program areas: Acute, Rehabilitation, Geriatric, Forensic and Acquired Brain Injury. The Area Secretary must be able to build and maintain positive work relationships and work with multidisciplinary teams.
The Area Secretary provides administrative support to treatment team members on the patient care areas of Selkirk Mental Health Centre (SMHC). The incumbent assists in promoting patient recovery by maintaining patient files and ensuring confidentiality is maintained. The incumbent types patient chart notes, reports, and other documents such as memos, letters, meeting minutes and instruction manuals. The incumbent documents patient appointments and arranges transportation as needed, gathers and transmits patient data as required, completes monthly statistical reports, and orders supplies as needed.
Experience
- Several years experience providing secretarial/administrative support is essential, preferably in a hospital/medical environment.
Education (Degree/Diploma/Certificate)
- Complete high school education, Manitoba standards, required.
- Successful completion of a recognized secretarial training program required.
- A combination of education and experience may be considered.

Qualifications and Skills
- Intermediate level of experience working with Microsoft Office (Word, Excel, Outlook, and Access).
- Strong organizational skills with the ability to set priorities and work under pressure to meet deadlines.
- Strong interpersonal skills with the ability to work independently and co-operatively in a team environment.
- Good written and verbal communication skills.
- Ability to handle difficult and sensitive situations confidentially using sound, independent judgment within general policy and legal guidelines.
- Desired:
- Experience working with electronic patient charts.
- Knowledge of medical records management and terminology.
- Knowledge of the Mental Health Act of Manitoba.
- Knowledge of SMHC policies and procedures.
