Position Overview

The Winnipeg Regional Health Authority (WRHA) HR Shared Services is seeking a highly motivated Receptionist/Office Assistant with excellent interpersonal and communication skills to provide a variety of administrative and clerical tasks. Reporting directly to the Regional Manager, WRHA HR Shared Services, the incumbent will perform reception and support to our managers, employees, assisting in daily office needs and our general administrative activities.

 

Duties of the incumbent will include:

 

  • Greeting and directing callers and visitors in a respectful and courteous manner
  • Acting as the point of contact for internal and external clients
  • Handling all inquiries as expeditiously as possible by providing accurate information and transferring inquiries to appropriate individuals
  • Liaising with management and staff to handle requests and queries
  • Timekeeping utilzing SAP
  • Handling requests for information and data

  • Handling all incoming and outgoing correspondence; monitoring and ordering office supplies

  • Monitoring conference room and bookings via the appropriate electronic calendar; and providing assistance to other administrative assistants, managers and directors with special projects

  • Coordinating maintenance of office equipment

  • Coordinating and administering pre-employment clerical assessments 

  • Invoice preparation and reconciliation 

  • Resolving administrative problems and inquiries

Experience

  • Two years proven experience as a receptionist and/or administrative assistant.
  • Experience with email and computerized calendars.

Education (Degree/Diploma/Certificate)

  • Complete high school education Manitoba standards, required.

  • Completion of a recognized administrative, secretarial or business office training program.

Qualifications and Skills

  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
  • SAP experience deemed an asset.
  • Working knowledge of office equipment.
  • Knowledge of office management systems and procedures.
  • Ability to establish and maintain good working relationships with all levels of staff, the general public, clients, and suppliers.
  • Demonstrated ability to effectively contribute to a team environment.
  • Ability to maintain a high level of confidentiality.
  • Ability to work in a fast paced environment and work effectively under pressure to meet deadlines.
  • Excellent time management skills and the ability to prioritize work.
  • Strong organizational skills with the ability to multi-task.
  • Excellent written and verbal communication skills
  • Ability to work with minimal supervision.
  • Attention to detail and problem solving skills.

 

This term position may end earlier as outlined in the Employee Handbook.

 

This position requires a current satisfactory Criminal Records Check (including Vulnerable Sector Search), Child Abuse Registry Check and Adult Abuse Registry Check as conditions of employment. The successful candidate will be responsible for any service charges incurred. A security check is considered current if it was obtained no more than six (6) months prior to the start of employment.
